Summary
The UK Administrative Support role provides vital operational and compliance assistance for Mobile Water Solutions’ UK site, ensuring smooth day-to-day management of facilities, safety procedures, and administrative processes. This role requires strong organisational and communication skills, a proactive approach to safety and compliance, and the ability to work collaboratively with both UK-based and European colleagues to ensure consistent operational excellence across the business.
Reporting directly to the European Maintenance Manager, this position plays a key role in maintaining high operational standards, legal compliance, and effective co-ordination between the UK team. Key responsibilities include carrying out and documenting weekly fire alarm checks and monthly emergency lighting inspections; coordinating LOLER inspections and managing visits from external contractors; reviewing Risk Assessments and Method Statements (RAMS) before any on-site activity or refurbishment work; overseeing cleaning team performance, stock levels, and site cleanliness; assisting with internal and external site audits to ensure compliance with company and legal requirements; and managing inventory and stock processes, including bi-annual stock takes for both the MWS Maintenance and Re-Manufacturing teams.
Job Responsibilities
Administration & Compliance support
- Fire Alarm and Emergency Lighting Checks:
- Conduct and record weekly fire alarm tests and monthly emergency lighting inspections, ensuring all systems are operational and compliant with UK safety regulations.
- Schedule, track, and document Lifting Operations and Lifting Equipment Regulations (LOLER) inspections, ensuring timely completion and correct certification.
- Conduct regular Legionella risk assessments, temperature checks, and system monitoring to ensure water safety compliance.
- Prepares and maintains detailed reports and records in line with health and safety regulations.
- Contractor Management:
- Coordinate external contractor visits, ensuring appropriate site access, supervision, and adherence to company safety protocols.
- Assess and approve Risk Assessments and Method Statements (RAMS) prior to any site activity, maintenance work, or refurbishment project (including office and reception upgrades).
Audit Support:
- Assist in the preparation for and execution of internal and external site audits, ensuring all necessary documentation and compliance records are up to date.
- Facilities and Housekeeping Oversight
- Oversea the performance of the cleaning team, ensuring high standards of cleanliness, adequate stock of cleaning materials, and efficient task completion.
- Support routine maintenance activities, report facility issues, and liaise with service providers for timely resolution.
- Provide administrative and logistical support for office refurbishments, layout changes, and other site improvement initiatives.
Inventory and Stock Management
- Manage site inventory, ensuring accurate tracking of materials, consumables, and equipment across Maintenance and Re-Manufacturing areas.
- Organise and participate in bi-annual stock takes, reconciling discrepancies and maintaining clear documentation for audit purposes.
- Liaise with suppliers to ensure timely replenishment of materials and support cost-effective purchasing.
Administrative and Reporting Support:
- Documentation and Record Keeping:
- Maintain accurate records of inspections, audits, and facility activities, ensuring all data is accessible and compliant with company policy.
- Provide regular updates and reports to the European Manager, highlighting key compliance activities, site issues, and improvement opportunities.
- Act as the main administrative point of contact for UK facilities, ensuring smooth communication between site teams and the European management structure.
Job Requirements
- Proven experience in administration support or similar role.
- Proficient in English, with the ability to communicate clearly and concisely in both verbal and written forms across all organisational levels.
- Excellent knowledge of Microsoft Office packages (Outlook, Excel and Word), Google sheets.
